Proposal Coordinator
Position Summary: Global Science & Technology, Inc. (GST), a
provider of high-technology services to the Federal government, is seeking a
full-time Proposal Coordinator to join the Business Development team.
The Proposal
Coordinator will support the Business Development team in the
identification, tracking and analysis of business opportunities across all GST
market sectors. Organizes and maintains pre-solicitation, RFP and proposal
files both electronically and in hard copy. Provides proposal process support
to Capture/Proposal Managers throughout the business development cycle
including, proposal planning, scheduling, compliance, reviews and final
production.
Essential Duties and Responsibilities:
- Track
business development opportunities using various on-line sources such as
FedSources, FedBizOpps and the NASA Acquisition Internet Service (NAIS)
- Provide
coordination, word processing, desktop publishing skills for proposals,
RFI responses, presentations, white papers, and other products developed
or supported by the Business Development team
- Provide administrative
support to Proposal Managers, Proposal Writers/Editors, and Capture
Managers
- Participate in all aspects
of the proposal production process; design, layout, proofreading, collating,
photocopying, binding, packaging, and filing.
- Analyze
Federal RFP Sections L and M (or equivalent) proposal instruction
requirements and prepare proposal templates for meetings and reviews.
- Arrange
meeting/review rooms, and perform additional administrative duties to
support the Capture/Proposal Manager
- Prepare
and format resumes according to RFP instructions – this involves
coordinating with HR, as well as individual employees
- Maintain
a resume repository for all resumes (original and formatted) used in
proposals
- Coordinate
past performance/project profile information according to specific RFP
instructions – this involves coordinating with Project/Program Managers
to acquire all relevant information within a specified deadline, as well
as coordinating with the Contracts Manager to ensure that all past
performance contract information is current and accurate
- Maintain
proposal repository on the corporate shared drive as well the physical
proposal library – this involves creating a standard file structure
within each proposal folder, and maintaining office hard copies of each
proposal
- Responsible
for coordinating with Prime, subcontractors and project team members
regarding any data calls, meetings and documentation (DCAA Audit Report,
Balance sheets, D&B Report, etc.) necessary
- Edit
submitted documentation for accuracy, grammar and writing style
- Ensure
timely delivery of proposals in accordance with RFP instructions
Qualification/Requirements:
- BachelorŐs Degree in English,
journalism, marketing or related field
- 3 years of relevant work
experience, with at least 2 years in a Federal procurement proposal
department
- Excellent command of English
grammar, spelling, punctuation, syntax, and composition
- Must be analytical with
attention to detail
- Strong organization,
coordination, consistency, and communication capabilities
- Intermediate/Advanced
experience with MS Word, PowerPoint, Outlook, Excel, Adobe Acrobat and
Internet research
- Experience working with MS
SharePoint Portal
- Must be able to work independently
as well as part of a team
- Ability to multi-task and
work effectively in a fast-paced, proposal deadline driven atmosphere
Other Skills, Knowledge, Abilities
- Graphic
design experience is also desirable.
